Your Questions, Answered

How does MedTrip Poland work?
MedTrip Poland helps people living in Ireland access private specialist consultations, diagnostic tests and selected surgical procedures in Poland. We work with carefully selected clinics and experienced doctors, arrange your appointments, coordinate communication, and support you throughout the process. If you’re planning treatment under the HSE Cross Border Healthcare Directive, we can also explain the reimbursement process and help you understand what documentation is usually required. Patients book their own travel, while we provide guidance and practical support to make the whole experience as smooth and stress-free as possible.
Do you charge a fee for your service?
No. MedTrip Poland does not charge patients a separate fee for its standard coordination assistance. Consultation, diagnostic and treatment costs are set by the relevant doctor or clinic and are normally paid directly to that provider. MedTrip Poland may receive a referral or coordination payment from a participating clinic. We do not take any percentage or commission from an HSE reimbursement paid to you.
Do you charge a fee for HSE reimbursement assistance?
If you arrange your treatment through MedTrip Poland at one of our partner clinics, our assistance is free of charge. This includes support with the documentation required to apply for HSE reimbursement under the Cross Border Directive. If you have arranged your treatment independently, already have your own clinic, or have completed your treatment and only need assistance with the HSE reimbursement application, we can provide this as a separate service. The fee for preparing and assisting with the application is €150.
Do I book my flights myself?
Yes. You are free to book the flights that best suit your schedule and budget. If you need assistance, we’re happy to help you find suitable flights, compare travel options, and recommend the most convenient airports. Our goal is to make your journey to Poland as smooth and stress-free as possible.
How will I know my appointment is confirmed?
Once we successfully schedule your appointment, you will receive a confirmation email with all the details, including: doctor’s name and clinic location, appointment date and time, and any additional instructions from the clinic.
How much does a specialist consultation cost?
Specialist consultation fees typically range from €40 to €100. Additional services (e.g. blood tests, ultrasound) may cost more and are paid directly at the clinic.
How are doctors regulated in Poland?
In Poland, the equivalent of the Irish Medical Council is the Polish Supreme Medical Chamber (Naczelna Izba Lekarska – NIL). It is the central professional regulatory body responsible for overseeing all licensed physicians and dentists across the country.

All doctors practicing in Poland must:
  • Be members of a Regional Medical Chamber (Okręgowa Izba Lekarska),
  • Hold a license to practice medicine (Prawo Wykonywania Zawodu – PWZ), which is granted after completing medical studies and internship.
The NIL, along with the regional chambers, is responsible for:
  • Maintaining the national register of licensed doctors (which is publicly searchable),
  • Overseeing doctors’ adherence to medical ethics and professional standards,
  • Conducting disciplinary proceedings when necessary,
  • Ensuring continuous professional development and training of healthcare professionals.
Thanks to this strong regulatory framework, patients in Poland can trust that medical professionals are well-qualified, regularly monitored, and held to high ethical and clinical standards – just like in Ireland.
Can I bring a companion with me?
Absolutely! Many patients travel with family members or friends.
How long should I stay in Poland for my medical visit?
If you are travelling for a specialist consultation only, 2–3 days is usually sufficient. If you are coming for a diagnostic procedure, treatment or surgery, the recommended length of stay will depend on your individual treatment plan. Your specialist or clinic will provide this information before you travel, allowing you to plan your trip with confidence.
Can you help me arrange accommodation and airport transfers?
Yes. While accommodation and transport are booked separately, we’re happy to help throughout the planning process. We can recommend trusted hotels, assist with suitable accommodation close to our partner clinics, and arrange reliable airport transfers if required. If you prefer to rent a car, we’re also happy to point you towards suitable options.
What if a prescription is issued during my online consultation? Can I use it in Ireland?
A prescription issued by a doctor in Poland may be accepted in Ireland if it meets the applicable EU cross-border prescription requirements. Acceptance can depend on the medicine, the prescription format and the dispensing pharmacy. Some medicines may be subject to additional restrictions. We recommend checking with your Irish pharmacy before the consultation and asking the doctor to provide all information required for an EU cross-border prescription.
Can I book an online consultation instead of travelling to Poland?
Yes. We offer secure video or phone consultations with English-speaking Polish specialists – over 30 medical fields available.
How much does an online consultation cost?
Online consultations start from €40, depending on the specialist.
Can I reschedule or cancel my online consultation?
Cancellation and rescheduling policies may vary depending on the clinic and specialist. If you need to change or cancel your appointment, please contact us as soon as possible. We will liaise with the clinic on your behalf and advise you of the applicable cancellation policy and any available refund.
Can I reschedule or cancel my in-person consultation?
Cancellation policies depend on the individual clinic and specialist. Please contact us as early as possible if you need to cancel or reschedule your appointment. We will assist you throughout the process and explain any applicable cancellation terms provided by the clinic.
What if the specialist I want to see isn’t listed?
No problem – contact us directly and we’ll try to arrange an appointment with your preferred doctor or best alternative.
In what currency will I receive the medical invoice from the doctor?
The currency of your medical invoice depends on the clinic providing your treatment. Many of our partner clinics can issue invoices in euro (EUR), while some clinics may issue invoices in Polish złoty (PLN). We will always let you know the payment currency before your appointment is confirmed, so there are no surprises.
How does the HSE Cross-Border Healthcare Directive reimbursement process work?
Start by obtaining the required referral from your GP or Irish public consultant before the relevant treatment pathway begins. If appropriate, you may submit an optional Prior Notification application to the HSE before travelling. After treatment in Poland, the patient pays the healthcare provider directly and submits the HSE reimbursement application together with the required clinic or doctor section, an itemised medical invoice, proof of payment and any other supporting documents requested by the HSE. The HSE reviews the application and decides eligibility and the amount, if any, to be reimbursed.
Can I claim the cost of my consultation or treatment from my private health insurer (e.g. Aviva, VHI)?
This depends on your health insurance policy. Many insurers reimburse consultations or treatments carried out abroad, but the level of cover varies. We recommend checking directly with your insurer before booking your appointment. In most cases, a GP referral letter is not required by MedTrip Poland, although your insurer may have its own requirements.
Are the doctors I see through MedTrip Poland registered with the Irish Medical Council (IMC)?
No, they’re not. The doctors we help arrange appointments with are fully qualified and registered in Poland. They follow Polish and European healthcare standards, but they are not registered with the Irish Medical Council (IMC) because they practice in Poland, not in Ireland. The IMC is only for doctors who work in Ireland. At MedTrip Poland, we simply arrange your visits with trusted Polish specialists — giving you quicker access to expert care under European regulations.
Can I get a receipt for my visit?
Yes. Your consultation, treatment or procedure is provided by the clinic or specialist, who will issue the appropriate receipt or medical invoice in accordance with their billing procedures. If you require documentation for your private health insurer, please let us know and we’ll be happy to assist.
How can I contact MedTrip Poland?
You can contact us by email, through our contact form or by leaving a WhatsApp message. Our telephone line is open Monday to Friday, from 7am to 5pm. Messages received outside these hours will be answered as soon as reasonably possible.
Can I combine multiple appointments during one trip to Poland?
Yes. Where schedules and clinic locations allow, we can help coordinate more than one consultation or diagnostic appointment during the same trip. The number of appointments will depend on specialist availability, travel time and the medical preparation required.
Do I need a GP referral letter to book a consultation, treatment or surgery in Poland?
No. You do not need a GP referral letter to book a consultation, treatment or surgery in Poland. You can book appointments directly with medical specialists and arrange your treatment without first seeing your GP.
Do I need a GP referral letter if I want to claim reimbursement from the HSE under the Cross Border Healthcare Directive?
Yes. If you intend to apply for reimbursement under the HSE Cross Border Healthcare Directive, you should obtain the required referral from your GP or Irish public consultant before your first consultation or treatment in Poland. The referral should relate to the healthcare you are seeking. The exact requirements depend on the treatment pathway, so check the current HSE rules before booking. A referral is not normally required simply to arrange fully private treatment in Poland.
Will my employer in Ireland accept a sick leave certificate from a Polish doctor?
A licensed doctor in Poland may issue a medical certificate, but acceptance and documentation requirements are determined by your employer and, where relevant, the applicable Irish social-welfare rules. Your employer may require an English-language certificate or translation and may ask for additional information. We recommend confirming the requirements with your employer before travelling and asking the Polish doctor or clinic whether the certificate can be issued in English.
How does MedTrip Poland use the personal and health information I submit?
We use the information you provide to respond to your enquiry, assess what type of coordination may be suitable and communicate with you. Health information is processed only with your explicit consent. Where necessary for your request, relevant information may be shared with an appropriate independent doctor or clinic in Poland. We do not sell personal data or use health information for unrelated marketing. You may withdraw consent by contacting us, although this may prevent us from continuing assistance where the information is necessary. Please see our Privacy Policy for more information.
Is HSE reimbursement guaranteed?
No. MedTrip Poland can explain the process and assist with documentation, but we are not the HSE and cannot determine eligibility or guarantee reimbursement. The HSE makes the final decision and determines the amount, if any, that will be refunded. Patients must meet the current requirements, pay the healthcare provider directly and submit the required application and supporting documents.
