1. About MedTrip Poland
MedTrip Poland is an independent patient coordination and information service operating from County Kerry, Ireland. You can contact us at contact@medtrippoland.ie, appointments@medtrippoland.ie or +353 89 234 1095.
These Terms apply when you use our website, submit an enquiry or ask us to assist with coordinating private healthcare in Poland.
2. Our Role
MedTrip Poland may assist with identifying suitable independent doctors or clinics, requesting information or quotations, coordinating consultations, diagnostics, procedures or treatment, providing practical information and supporting the preparation of documentation for a possible HSE reimbursement application.
MedTrip Poland is not a hospital, clinic, medical practice, insurer, travel agency or public authority. We do not diagnose, prescribe, recommend a particular medical treatment, provide emergency services, make clinical decisions or guarantee medical outcomes.
3. Independent Healthcare Providers
Doctors, specialists, clinics and hospitals in Poland are independent third parties. The medical provider is solely responsible for clinical assessment, suitability for treatment, informed consent, medical advice, treatment, follow-up, medical records, professional standards and patient safety.
Any medical-services contract is between the patient and the relevant provider. You should review the provider’s own terms, privacy information, prices, cancellation rules and clinical documents before proceeding.
4. Coordination Charges and Provider Payments
MedTrip Poland does not charge patients a separate fee for its standard coordination assistance unless a specific optional paid service is clearly described and expressly accepted in advance.
MedTrip Poland may receive a referral or coordination payment from a participating clinic or provider. This does not make MedTrip Poland the provider of the medical service. Medical fees, consultation fees, deposits and treatment costs are set by the relevant provider and, unless clearly stated otherwise, are paid by the patient directly to that provider.
Prices and quotations may change following medical assessment, additional tests, changes in the treatment plan, currency conversion or provider charges. An initial quotation is not a guaranteed final price unless the provider confirms otherwise in writing.
5. Your Responsibilities
- Provide accurate, current and complete information relevant to your enquiry.
- Tell us and the provider about relevant symptoms, diagnoses, medicines, allergies, test results and changes in your condition.
- Obtain any referral, prior authorisation or public-system documentation required for your intended reimbursement route.
- Review the provider’s information, ask medical questions directly of the qualified provider and give informed consent before treatment.
- Pay the provider’s charges and comply with its payment, cancellation and preparation requirements.
- Arrange suitable travel documents, insurance, transport, accommodation and assistance, unless a particular item has been expressly agreed in writing.
- Seek urgent or emergency medical assistance locally where needed. The website and MedTrip Poland communications are not emergency services.
6. Appointments, Availability and Changes
All appointments, prices and treatment dates depend on provider availability and clinical approval. A provider may request further information, require an in-person assessment, change a proposed plan, postpone or refuse treatment on medical or operational grounds. MedTrip Poland will pass on relevant information but cannot guarantee a particular doctor, date, price, procedure or outcome.
7. Cancellations and Refunds
The relevant clinic’s or doctor’s cancellation, rescheduling, deposit and refund rules apply to medical services. MedTrip Poland cannot issue a refund of money paid directly to an independent provider and is not responsible for a provider’s refund decision. Any separate optional service purchased directly from MedTrip Poland will be governed by the cancellation information provided before purchase and by applicable consumer law.
8. HSE and Cross-Border Reimbursement
MedTrip Poland may provide general information and administrative assistance concerning the HSE Cross Border Directive or another reimbursement process. We are not the HSE, do not determine eligibility and do not provide a guarantee of prior approval, reimbursement or reimbursement amount.
- The patient is responsible for satisfying the HSE’s current requirements, including obtaining any required referral or public-patient documentation before the relevant treatment pathway begins.
- The patient normally pays the medical provider directly and submits the required application and supporting evidence to the HSE.
- The HSE makes the final decision on eligibility, documentation and the amount, if any, to be reimbursed.
- Travel, accommodation, transfers and other non-medical costs are not included unless the HSE expressly confirms otherwise.
Rules and reimbursement limits may change. Patients should check current requirements directly with the HSE before committing to treatment or travel.
9. Personal and Health Data
Our handling of personal data is explained in our Privacy Policy. Where you provide health information through a form, you must give separate explicit consent for MedTrip Poland to process that information and share necessary details with an appropriate doctor or clinic for the purpose of handling your enquiry and coordinating healthcare.
You should provide only information relevant to your enquiry. Withdrawing consent may prevent us from continuing assistance where health information is necessary for the requested coordination.
10. Travel and Practical Arrangements
Unless expressly agreed otherwise in writing, patients are responsible for flights, local transport, accommodation, passports, visas, travel insurance, companions and changes caused by delays, cancellations or medical decisions. Suggestions concerning accommodation or transport are practical information only and do not make MedTrip Poland responsible for the third-party service.
11. Limitation of Responsibility
To the maximum extent permitted by law, MedTrip Poland is not responsible for independent clinical decisions, medical negligence of a provider, treatment outcomes, provider delays or cancellations, inaccurate information supplied by a patient or provider, or losses caused by travel and accommodation arrangements.
Nothing in these Terms excludes or limits liability that cannot lawfully be excluded, including liability arising from MedTrip Poland’s own fraud or fraudulent misrepresentation, or any mandatory rights available to consumers under Irish or EU law.
12. Complaints
Concerns about coordination provided by MedTrip Poland should be sent to contact@medtrippoland.ie. Clinical complaints, medical-record requests and concerns about treatment should be addressed directly to the relevant doctor, clinic or hospital. We may assist with communication where appropriate but cannot decide a clinical complaint on the provider’s behalf.
13. Website Information
Website content is general information and may not reflect a person’s clinical circumstances. It is not medical, legal, financial or reimbursement advice. Although we aim to keep information accurate, provider details, prices, availability and public reimbursement rules may change.
14. Governing Law
These Terms are governed by Irish law. Nothing in these Terms deprives a consumer of mandatory protections or rights that apply under Irish or European Union law. Medical services delivered in Poland are also subject to applicable Polish law and the provider’s professional obligations.
